The People BehindYour Journey
Getting a student to a U.S. high school takes a coordinated team — a sending organization, a receiving organization, a host family, a school, and more. Here's what each one does, which are involved for your program, and where Xperience Edu — a U.S.-based sending organization — fits in.
Six Roles, One Coordinated Journey
Behind every successful placement is a network of specialists — each vetted, each accountable, each with a specific job. Not every role applies to every student (we break that down by program below) — but understanding who does what is the first step to knowing your child is in good hands.
Sending Organization
Recruits, advises, and guides students and families through the entire journey — choosing the right program, applications, document preparation, visa guidance, and coordinating with every U.S.-side partner.
Your single point of contact and advocate, from your first question to arrival and all the way through the program.
Xperience Edu is a U.S.-based Sending Organization. Most SOs sit in the student’s home country — being based in the United States means we’re on the ground where your child actually studies.
Receiving Organization
The U.S.-based organization that runs the on-the-ground network: recruiting and vetting host families, employing local coordinators, maintaining relationships with schools, and (for J-1) serving as or working with the visa sponsor.
The infrastructure that makes a safe, supported placement possible — the people and systems inside the U.S.
Receiving Organizations require students to come through a Sending Organization — families can’t enroll directly with an RO. Xperience Edu (your SO) partners with a U.S.-based RO and homestay company, so you get that network as part of the package.
J-1 Designated Sponsor
An organization officially authorized by the U.S. Department of State to sponsor J-1 exchange students. It issues the DS-2019 form, ensures the program meets federal standards, and is accountable for student welfare and oversight.
Legal authorization for the J-1 program plus a federally-accountable safety net looking out for the student.
Xperience Edu’s Receiving Organization partner is a designated J-1 sponsor.
Host Family
The vetted, background-checked American family that welcomes the student into their home — providing a bedroom, meals, everyday support, and genuine cultural immersion.
A true home away from home, and the heart of the exchange experience. Carefully screened and matched by the RO and local coordinator.
School
The U.S. high school that enrolls the student — a public school for J-1 exchange, or a private, public, or boarding school for F-1 — delivering the academics, activities, and a path to a U.S. diploma.
World-class education, real American school life, and the credential that opens doors to universities.
Most schools require that a student be supported by both a Sending Organization and a Receiving Organization before they’ll enroll an international student — it’s how they ensure oversight and support are in place.
Local Coordinator
The Receiving Organization’s representative right in the student’s U.S. community — matching and monitoring the host family, checking in regularly, and acting as the first responder if anything comes up.
A real person, locally, looking out for your child — plus monthly progress reports so parents always know how things are going.
Your Program Shapes Your Team
You won't necessarily work with all of these — it depends on the program you choose. Here's who's typically involved.
- You & your family
- Sending Organization (Xperience Edu)
- Receiving Organization + J-1 sponsor
- Host family
- Local coordinator
- Public high school
The full network — the classic host-family cultural exchange.
- You & your family
- Sending Organization (Xperience Edu)
- Receiving Organization
- Host family
- Local coordinator
- Your chosen day school
A private or public day school with host-family living. F-1 uses the school’s I-20, so there’s no J-1 sponsor.
- You & your family
- Sending Organization (Xperience Edu)
- Receiving Organization
- Your boarding school
You live on campus, so there’s no host family or local coordinator — the boarding school provides housing and supervision, and placement still goes through our U.S. Receiving Organization partner.
Canada, Virtual, Summer, and Short-Term programs involve their own mix — your advisor will walk you through exactly who's part of your journey.
One Chain of Care
This isn't red tape — every link adds vetting, support, and accountability. Here's how a student flows through the team.
Xperience Edu is your U.S.-based Sending Organization
We're partnered with a U.S.-based Receiving Organization and homestay company that is a designated J-1 sponsor. For your family, that means one coordinated team: a U.S.-based advocate guiding you every step (the SO), plus the full American support network — vetted host families, local coordinators, J-1 sponsorship, and school relationships (the RO) — all working together from application to graduation.
A US-based advocate
One point of contact who knows the U.S. system firsthand.
Full US support network
Host families, coordinators, and J-1 sponsorship, vetted and compliant.
Local, ongoing care
A coordinator near your child and monthly progress reports to you.
Common Questions
What is a Sending Organization (SO)?
A Sending Organization recruits, advises, and guides international students and families through the whole process — program choice, applications, documents, visa guidance, and coordination with the U.S.-side partners. Xperience Edu is a U.S.-based Sending Organization.
What is a Receiving Organization (RO)?
The U.S.-based organization that runs the on-the-ground network: vetted host families, local coordinators, school relationships, and (for J-1) the visa sponsor. ROs require students to come through a Sending Organization — you can’t enroll directly with an RO.
What is a J-1 designated sponsor?
An organization authorized by the U.S. Department of State to sponsor J-1 exchange students. It issues the DS-2019, ensures federal standards are met, and is responsible for student welfare. Xperience Edu’s RO partner is a designated J-1 sponsor.
What does a Local Coordinator do?
The RO’s representative in the student’s U.S. community — they match and monitor the host family, check in regularly, respond first if issues arise, and send monthly progress reports to parents.
Why do I need both an SO and an RO — can’t I go direct?
Each adds support and accountability. The SO is your advocate and point of contact; the RO provides the host families, coordinators, and school relationships in the U.S. ROs require an SO, and most schools require both. Xperience Edu is your SO and brings the RO partnership, so you get the whole team.
